Update a company's details yourself via MyCodabox: for example, company code, address, email, enterprise name, representative, etc. Some changes will impact your mandates, if they haven't been signed yet by your client.

Do you only need to change the enterprise number? Then follow these instructions.


How to change a company's details via MyCodabox
  1. In MyCodabox, click Companies > Company list > Search.
    (Can't find the company? Click here for more info on navigating between organizations/environments.)
  2. Click the Company code to see the details.
  3. On the page 'Company info', click Edit company info to modify the details.

  4. Confirm the changes by clicking Save Changes.


Which fields can be adapted?

All fields are editable, except for the Enterprise number. To change the enterprise number, follow these instructions.

Exception: if the 'Enterprise number' field is empty, you can fill it in. In that case, the enterprise name cannot be changed.

Important: Add missing email addresses


The email address for the company, that you provide us via MyCodabox allows us to send your client some important reminders related to the signature and activation of their mandates.

Via MyCodabox you can easily search companies who do not have an email address registered at Codabox.

In MyCodabox, go to Companies > Company list > Use the filter 'Missing email address'.

Troubleshooting


Why can't I modify the field Enterprise name?

This field is not modifiable if the Enterprise number has not yet been entered.


A message is displayed when I change the field 'Company code', why?

This message is informative and does not prevent the modification of the Company code but draws your attention to the fact that this modification has consequences at the level of the folder in which the files for this company will be delivered.


In which cases does changing a company's details impact the mandates?
After modifying a company's details, our system checks whether this affects the mandates. 

Mandates that have not yet been signed by the legal representative, are adjusted by Codabox with the new details, and must again be submitted for signing by the legal representative.


If this company still has mandates in an unsigned status, a pop-up will be shown with the possible actions you can take.


Which actions*?
  • Download mandate (and then send it to your client)
  • Copy signing link (and then send it to your client)
  • Resend to client (Codabox resends the mandate to your client)
  • Archive (this cancels the mandate-request)

Note: * The possible actions depend on the type of bank and the agreement you have with Codabox regarding the management of mandates.


How do I change my own enterprise's details?
If you have created your own enterprise as a company in MyCodabox (to manage the mandates for your own professional accounts), follow the steps above.
Note: some changes will impact your mandates.

Do you also want to change details at the level of your organization (your accounting office - the entity that has a contract with Codabox - is registered in MyCodabox as an “organization. More info here)? When you make changes at company-level, these are not applied automatically to organization-level. You will see the following message (and you can click through to the organization): Edit organization's info
Changes made at 'organization' level will have no impact on your mandates.
