Just like when you register on a web shop, Codabox asks your client to confirm their email address.


Why?

Codabox wants to deliver documents to your client in a secure way.


When does the client have to confirm their e-mail address?

When Codabox wants to send him/her documents (CODA/SODA or purchase invoices):


How?
Your client receives an email from Codabox and has to match the name of his accountant. 
If necessary, Codabox will send a reminder after 3 days, followed by 4 weekly reminders.


Which email addresses need to be confirmed?
  • The contact email address for this company
  • The additional VOILA e-mail address


How to monitor this process?

Via MyCodabox you can check if the email address of your client has already been verified.

Your client confirms the email address

Your client receives an email from Codabox

Subject: Please confirm your email address

Email content: Information about his company and two links

  • He/she is the legal representative of the company? He/she clicks the corresponding link and the verification form starts.
  • He/she is not the legal representative? He/she can contact us.


The verification form

The client must select the name of the accounting office he is working with.

Confirmation form for the e-mail address that will be used by CodaBox step 1: I enter the name of my accountant

When the first letters of the accounting office's name are entered in the field, the auto-completion process starts and proposes a list of names.

Once the name of the Accounting Office has been correctly selected, the choice must be validated by clicking on 'Confirm'.

A final screen displays the verification of the email address.

The validation process fails?

The link is no longer valid?

The links are valid for 2 weeks. After this period, the client can reactivate the verification process of his email address via  'Link expired, request a new link here.' (link in the verification e-mail).

Unsuccessful attempts?

If an error is made when selecting the Accounting Office, a message is displayed 'This information is not correct. You still have X more attempt(s)'

After 3 unsuccessful attempts, the client is invited to contact us via helpdesk@codabox.com to request a new invitation to verify their email address.

Reminder?

If necessary, Codabox will email a reminder after 3 days, followed by 4 weekly reminders.

You can also resend the Codabox email yourself via MyCodabox.


Check the status of the email verification

In MyCodabox > Companies > Company list > in the column 'Email Address', the color of the email address indicates the verification status.


The status
Click the (i) icon next to the email address for more info about the status:
  • Email address in red Verification failed
    This email address is yet to be verified by your client. Codabox cannot send the available documents to this email address.  When the client uses the expired link, they will automatically receive a new link. If the client is not able to complete the validation, they must contact us.
  • Email address in orange Awaiting verification
    This email address is yet to be verified by your client. Codabox cannot send the available documents to this email address. The client still has the necessary and valid link to be able to verify his email address. If necessary, Codabox send a reminder email after 3 days, followed by 4 weekly reminders.
  • Email address in green Verified
    This email address has been verified by your client. Codabox sends documents to this email address.
  • Email address in black = No verification required


Resend the e-mail verification via MyCodabox 

Codabox asks your client to verify their email address. If necessary, Codabox sends a reminder email after 3 days, followed by 4 weekly reminders.

Do you wish to trigger (re)sending of the email yourself?


Use the functionality to 'send' or 'resend' the verification request! 

Once your client has confirmed the email address, Codabox will be able to send them the PDF of their CODA/SODA and or Purchase Invoices!


SEND the email verification request
Look for the company in MyCodabox > Companies  > Company list, click on the company code.
Under 'Company email address', click 'Send verification' and confirm in the next screen.
Via MyCodaBox, you can generate yourself the request for the verification of the e-mail address of your client


RE-SEND the email verification request

Look for the company in MyCodabox > Companies  > Company list. The email verification request can be resent for email addresses whose status is not yet verified

Your client didn't respond to your request to verify his/her e-mail address? you can resend the invitation via MyCodaBox

Click on the company code and under 'Company email address', click Resend and confirm in the next screen.

Via MyCodaBox, you can resend the invitation to your client to verify his/her e-mail address

Note: The sending was not successful ? You receive this message: 'Something happened while resending the verification email. Please try again or contact Support if the problem persists.'
