CodaBox verifies my client's email address |
Just like you register on a web shop, CodaBox asks the client to confirm his email address
Why?
CodaBox wants to deliver documents to your client in a secure way.
When does the client have to confirm his e-mail address?
When CodaBox wants to send him/her PDF documents (CODA/SODA or purchase invoices):
- Because you agreed to send the client CODA/SODA in PDF
- Because you have subscribed the client to VOILA
How?
Which e-mail addresses need to be confirmed?
- The contact e-mail address
- The VOILA e-mail address
Can I monitor this process?
Yes, via MyCodaBox it is possible to check if the e-mail address of your client has already been verified.

Your client receives an e-mail from CodaBox
Subject: 'Please confirm your e-mail address'
Email content: Information about his company and two links
- He/she is the legal representative of the company? He/she clicks the corresponding link and the verification form starts
- He/she is not the legal representative? He/she can contact us
The verification form
The client must select the name of the Accounting Office he is working with
When the first letters of the Accounting Office name are entered in the field, the auto-completion process starts and proposes a list of Accounting Offices names
Once the name of the Accounting Office has been correctly selected, the choice must be validated by clicking on Confirm.
A final screen displays the verification of the e-mail address
If the client wishes to register another email address with CodaBox, he can contact our Support at helpdesk@codabox.com to provide us with the email address he wishes to use.
The validation process fails?
The link is no longer valid?
The links are valid for 2 weeks. After this period, the client can reactivate the verification process of his e-mail address via
'Link expired, request a new link here.' (link in the verification e-mail).
Unsuccessful attempts?
If an error is made when selecting the Accounting Office a message is displayed 'This information is not correct. You still have X more attempt(s)'.
After 3 unsuccessful attempts, the client is invited to contact our Support via helpdesk@codabox.com to request that a new invitation to verify their email address be sent.
Check the status of your client's e-mail verification |
In MyCodaBox > CLIENTS > Client List > 'Email Address' column, the color of your client's email address indicates the verification status.
You can obtain more information on the status by clicking on (i) next to the email address
- Email address in red >Verification failed
This email address must still be verified by your client. Codabox cannot send the available documents to this email address. If an expired link is used by the client, the client will automatically receive a new link. If the client does not succeed with the validation, the client must contact us. - Email address in orange Awaiting verification
This email address must still be verified by your client. Codabox cannot send the available documents to this email address. The client still has the necessary link to be able to verify his email address. - Email address in green Verified
This email address has been verified by your client. CodaBox sends documents to this email address. - Email adress in black = No verification required
- CodaBox has no documents to send to your client (no files available).
or - The option * 'This client receives PDF files from CODA and SODA by email' has not been selected for this client. Maybe there are files, but the request of the accounting office or client is to not receive files.
- CodaBox has no documents to send to your client (no files available).
Manage the sending or resending of the e-mail verification via MyCodaBox |
You have created a new client via MyCodaBox and :
- You prefer to manage the sending of the e-mail verification yourself, to verify his/her e-mail details without waiting for CodaBox to send it automatically
- You allow CodaBox to send the verification e-mail but the client has not yet confirmed his/her e-mail and you want to speed up the process?
➟ Use the send or resend e-mail verification e-mail! MyCodaBox offers you the possibility to manage the sending or resending of the verification e-mail yourself. Once your client has confirmed his/her e-mail address, CodaBox will be able to send him/her, the PDF of his/her CODA/SODA and or Purchase Invoices! |

Look for your client in MyCodaBox > CLIENTS > Client List, click on the client's name and under Informations - Client Email, click 'Send verification' and confirm in the next screen | |

RE-SEND the e-mail verification
Look for your client in MyCodaBox > CLIENTS > Client List. The verification e-mail can be resent for e-mail addresses whose status is not yet verified
