Why archive a company in MyCodaBox? 


You no longer need CodaBox services for a particular company? Avoid unnecessary fees.

You no longer want to see one of the companies in your MyCodaBox environment for one of the following reasons:

  • The company stops its activities
  • The company will be managed by another organisation/accountant
  • The company doesn't want to use the CodaBox services anymore
  • The cost of the CodaBox services
  • ...


➟ You can archive the company: this action stops further administrative tracking and/or active CodaBox services for this company.


How to archive a company?
  1. In MyCodaBox, click Companies > Company list > Search.
  2. Click the Company code to display the details.

  3. Click Archive company.

  4. Select the reason for archiving, activate the box 'I understand the consequences of this action'.
    Confirm by clicking Archive company.
    Confirm the archiving of a company via MyCodaBoxImportant : Choose the reason that corresponds to the actual situation when archiving.
    The fees charged by the bank will be stopped, EXCEPT if you select 'The company will be managed by another organisation/accountant'

Are archived companies still visible in MyCodaBox?

No, the menus that give access to the Companies/Services only show the active companies.


When I export my company list, what does it contain?

This list (CSV, Excel) contains only active companies.

Is it possible to display the details of an archived company?

No.


The archived company has a BNP/Belfius mandate, can I stop the CODA costs charged by the bank?

Yes, all the options offered during the archiving process stop the costs charged by the bank, EXCEPT if you select 'The company will be managed by another organization/accountant' (in this case, the bank continues to charge the cost to the company).

Can I reactivate an archived company that needs to be put under my management again?

Yes, by following the Add a company procedure (it is possible to reuse the same company code).


Can I reactivate an archived company that is/has been under the management of a different organization/accountant?

Yes, by following the procedure Transfer an existing company to your office.

 

The archived company was registered on my environment A, can I recreate it on my environment B?

Yes, just perform the procedure Add a company in environment A  to reactivate the company and then follow procedure Transfer a company to another environment also on environment A in order to move the company to environment B.
