Why archive a company in MyCodabox? 


You no longer need Codabox services for a particular company? Avoid unnecessary fees.

You no longer want to see one of the companies in your MyCodabox for one of the following reasons:

  • The company stops its activities
  • The company will be managed by another organisation/accountant
  • The company doesn't want to use the Codabox services anymore
  • The cost of the Codabox services
  • ...


You can archive the company: this action stops further administrative tracking and/or active Codabox services for this company.


★ Does the enterprise number of the company need to be changed? There is no need to archive the company. Contact helpdesk@codabox.com and we will be happy to help.


How to archive a company?
  1. Open the company via the Company list or use the search box in the blue menu bar at the top.
  2. In the tab 'Company', click Company actions at the top right and choose Archive company.

  3. Select the reason for archiving, tick the box 'I understand the consequences of this action'.
    Confirm by clicking Archive company.
    Confirm the archiving of a company via MyCodaBoxImportant: Choose the reason that corresponds to the actual situation when archiving.
    The fees charged by the bank will be stopped, EXCEPT if you select 'The company will be managed by another organization/accountant'


Questions & answers 


The archived company has an ING/Belfius/BNP Paribas Fortis mandate, can I stop the CODA costs charged by the bank?

Yes, all the options offered during the archiving process stop the costs charged by the bank, EXCEPT if you select 'The company will be managed by another organization/accountant' (in this case, the bank continues to charge the cost to the company).

When I export my company list, what does it contain?

This list (CSV, Excel) contains active companies as well as archived companies. Column P indicates the state.

How can I see archived companies in MyCodabox?
  1. Go to Company list and click the filter Active companies.
  2. Select Archived companies.

☆ Tip: via the search box you can find active companies and archived companies.
You can search by company code, enterprise name, entreprise number, company email address or Exact Online Digital Mailbox. Click on the search result to open the company.


How can I reactivate an archived company?
  1.  Open the company via the Company list or use the search box in the blue menu bar at the top.
  2. In the 'Company' tab, click Edit company info or click Company actions and choose Activate.
  3. Confirm your request in the pop-up.

The archived company was registered on my environment A, can I recreate it on my environment B?
  1. Open the company via the Company list (filter: Archived companies) or use the search box in the blue menu bar at the top.
  2. In the tab 'Company', click on Company actions at the top right.
  3. Click Transfer company to another environment.

    You can then immediately order the desired services.

Can I reactivate an archived company that is/has been under the management of a different organization/accountant?

Yes, follow the procedure Transfer an existing company to your office.
