MyCodabox is built for your organization. Within the organization as an umbrella entity, you can manage all your companies, organized by software.


What is an organization? What is an environment?

Do you manage companies across multiple organizations (for example, if you work for multiple accounting offices in a group structure and for each organization you receive a separate invoice for the Codabox services)? Then you can use the top menu to navigate from one organization to another.

Do you use multiple accounting softwares? MyCodabox is a multi-software solution! MyCodabox offers a separate environment for each software. You can now also add an environment yourself. Via the top menu, you can navigate from one environment to another.


In the left menu, you'll see the companies and services for the selected organization and environment.

Note: The Administration menu is only available to users with Admin role in MyCodabox.


Your organization(s) in MyCodabox


One login account for MyCodabox with access to all of your organizations (and environments)

Access to MyCodabox is based on a personal user account. 

With this account, you can manage (if necessary) multiple organizations (and multiple environments) in MyCodabox.


You can create an unlimited number of users from MyCodabox - completely free of charge - for your organization (if you work with several colleagues).


Change your organization's details
Do your organization's details registered with Codabox (e.g. e-mail address for invoicing, company name, address, representative) need to be changed? Manage these details yourself via 'Administration' in the top menu.
Click Administration > Organization Info > Edit organization info > Save Changes.


☆ Do you also want to change details at the level of your own company (from which you manage the mandates for your own professional accounts)? This does not happen automatically when you make changes at the level of your organization. You will see the following message (and you can click through to the company):

Access the company list of another accounting office (e.g. merger)?
Example:  
You're about to merge with another accounting office, but for the time being you'll continue to exist under separate company registration numbers. 
→ The other office can invite you and give you access to their organization in MyCodabox.


Your environment(s) in MyCodabox


Codabox is a multi-software solution. For each software, you'll need a separate environment in MyCodabox. The delivery is configured for each environment, based on the software in question.


Add a new accounting software: register environment [demo]
Are you planning to start using an additional accounting software to manage some of your companies?  
Don't delay registering the new environment in MyCodabox:
  1. In the blue menu bar at the top, click Environments > New environment.
    (this option is only available to Admin users in MyCodabox).Add a new environment
  2. Follow the steps on the screen.
  3. You'll see the dashboard of the new environment.
    You can now manage your companies and services:
    • transfer one of your existing companies to the new environment (the services remain active).
    • transfer all of your existing companies to the new environment: contact helpdesk@codabox.com en we'll take care of it!  
    • transfer companies from a different office.
    • add new companies and activate services.
  4. We'll contact you to set up the delivery method for the files.
    Are you using Exact Online for this new environment? Follow these instructions to correctly set up the digital postbox in Exact Online and link it to the right bank accounts.


Important: the monthly fee for SODA (payroll entries) applies per environment.
What does this mean?
➟ If your clients with SODA are currently managed in 1 environment, you are paying the monthly fee x1. When you transfer one or more companies with SODA to the new environment, or you add a new company to that environment and activate SODA for that company, you will from then on pay the monthly SODA fee x2. 
The monthly fee does not increase if you activate more than 1 SODA per environment.

Billing for CODA, CARO and VOILA is not impacted by the number of environments.

Transfer a company from environment A to environment B

If you work with multiple accounting softwares, that are already registered in MyCodabox, you can transfer a company from one MyCodabox environment to the other.

Change the details of your environment (accounting software)
Do you need to change the details of your environment(s) (e.g. the email address where you receive Codabox communications and monthly reports)? Manage these details yourself via 'Environment' in the left menu.
Click Environment Info > Edit environment info > Save Changes.
